churchMIS Cloud Computing Group. ("churchMIS") is concerned about your privacy and the security of your data. This privacy statement has been created in order to demonstrate our commitment to you and your data. This document discloses our policies and practices regarding the handling of your data and other information. This policy covers, without limitation, all software, applications, products, and technical support from the churchMIS products. By using our website, products, or services ("Website"), you are agreeing to be bound by the following privacy policy. We reserve the right to change these policies without notice. If you do not agree to these policies, your only recourse is to not use churchMIS Cloud Computing Group services.

The phrase "Your Church" refers jointly to you (an individual) and the organization you represent, together with any and all users, members, representatives, employees or agents of the organization who access the Website. Your Church may be referred to generically as "you" or "your" or "your church". Your access to the Website is provided through your account ("Account") with us. We collect basic information ("Personal Information") about you for the purpose of providing our products and technical support. This information includes but may not be limited to the following: your name, church name, email address, IP address and phone number. We collect this information whenever you create account with us, or when you request support from us. This information is never shared with or transmitted to a third party. We may use your information for the purpose of responding to your inquiries, for follow up, for sending of payment notices, or for sending other notices regarding product features, service notices, special pricing or promotions that you may be eligible to receive.

We use third parties to assist us providing you with a variety of services while using the Website. When you subscribe to receive any of these services, we will share your Personal Information only as necessary with the third-party solely for the purpose of providing that service. These third parties have been strictly audited to verify that their security and practices meet the requirements of churchMIS.

We use "cookies" on this Website. A cookie is a piece of data stored on your device to help us improve your access to our site and identify repeat visitors to our site. For instance, when we use a cookie to identify you, you would not need to input a password more than once, thereby saving time while using the Website. Cookies can also enable us to track and target the interests of our users to enhance the experience on our site. Usage of a cookie is in no way linked to any personally identifiable information on our site.

During the trial period, we periodically send emails to the email address listed as the primary contact(s) for the account. For paying customers, we send payment notices to the primary contact(s) on the account, plus any user accounts that are designated as Administrators. Any user can opt out of receiving these emails at any time using the Unsubscribe button on the footer of our email message. In any case, we only attempt to communicate with individuals who are listed as the contact person(s) for your account or those for whom you have designated as Administrator-level users.

You may opt out of any future contacts from us at any time. You can do the following at any time by contacting us via the email address or phone number given on our website:

•  See what data we have about you.

•  Change/correct any data we have about you.

•  Have us delete any data we have about you.

•  Express any concern you have about our use of your data.

In order to ensure delivery of important account notices, we recommend that you add churchmis.com to your address book or email whitelist. We also recommend that you have two or more contact persons listed on your account to ensure payment and other notices are received. You can add or remove designated contact persons on your account by creating a support ticket.

Additionally, it is your responsibility to notify us of any personnel changes, particularly regarding individuals who should no longer be allowed to access your account or receive support for your account. We will typically provide support to any individual listed as a contact person or user for your account. User accounts with Administrator permission also can grant or remove privileges from other user accounts, or to add and remove user accounts.

We will strive to prevent unauthorized access to your personal information and data, however, no data transmission over the Internet is guaranteed to be 100% secure. We strongly recommend that you do not disclose your password to anyone. If you forget your password, we will send a new, temporary password to the email address you have provided for your user account.

We use third-party service providers ("Payment Processors") to manage credit card processing. Under our agreement with service providers, they are not permitted to store, retain, or use your Personal Information or your billing information except for the sole purpose of credit card processing on our behalf. In certain cases, we may have access to the last four digits of your credit card number, its expiration date, and the billing address, which we will use solely to assist us in providing the product or service you purchased. In addition, we and our service providers may use any information processed pursuant to this section at an aggregate level for internal business analyses and fraud prevention.

From time to time, we may ask customers to respond voluntarily to a survey in order to help us improve our products and services. Any information collected will be kept confidential between you and churchMIS and will not be shared with a third party.

We may use testimonials provided or posted by you in our marketing or advertising materials. Your name, position, and organization name may be used in connection with your quote.

You retain ownership of the data entered or provided by you. churchMIS has limited access to this data as outlined in our Terms of Service when granted by you for the purpose of support. Under no circumstance will we ever sale, share or transfer your data to a third party.

If your account is closed or terminated for non-payment or any other reason, we will remove your account data from our server(s). For a limited period after this, we may also retain an encrypted backup of your data on our servers for the sole purpose of account restoration, if requested.

We collect some data regarding how you utilize your account. For example, we may store how often your account is accessed, or when your account was last accessed. We may also store how often you access certain features of the application in order to provide you with better service or for internal planning.

In order to provide you with certain services, we may store third-party credentials on your behalf. For example, we may store data relating to your third-party email server, enabling you to send email from inside the application.

We maintain a record of actions taken by your users. Your Administrator users can view these records (audit trail) from the User Accounts section of your account. The data contained in the audit trail will display when each user has logged in, plus any changes, additions, or deletions made to the data in your account. This information is collected and retained solely for your benefit and is not used by churchMIS.

You may opt out of any future contacts from us at any time. You can do the following at any time by contacting us via the email address or phone number given on our website:

•  See what data we have about you.

•  Change/correct any data we have about you.

•  Have us delete any data we have about you.

•  Express any concern you have about our use of your data.

This Website contains links to other sites. Please be aware that we are not responsible for the content or privacy practices of such other sites. We encourage our users to be aware when they leave the Website and to read the privacy statements of any other site that collects personally identifiable information.

From time-to-time our site requests information via surveys or contests. Participation in these surveys or contests is completely voluntary and you may choose whether to participate and therefore disclose this information. Information requested may include contact information (such as name and shipping address), and demographic information (such as zip code, age level).

A 'processor' means a natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller.

Except for basic information gathered during the signup process or email forms, churchMIS, Inc. is classified as a data processor. Churches using services by churchMIS are acting as the data controller. A data subject who wishes to revoke consent for his or her personal data therefore will contact the data controller (you or your church) to initiate the request, even if such data lives on the servers belonging to the data processor (churchMIS).

You may submit requests relating to their own information collected by ChurchTrac by emailing support@churchmis.com. You can expect a reply within 24 business hours.

There is no fee to submit this request, but churchMIS does reserve the right to charge a fee for requests that are unjustified, excessive, or recurring.

After receiving your request, we may contact you to request additional supporting information and/or proof of your identity. This helps us to guard your privacy and personal data. Once we have all the information necessary to process your request and have satisfactorily validated your identity, we will respond within one month and will aim to provide all required information to you within the same period. If we require more information from you, or if your request is unusually complicated, we may require more time and will inform you accordingly.

Disclosure of Your Personal Data

If churchMIS Cloud Computing Group is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

Under certain circumstances, churchMIS Cloud Computing Group may be required to disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).
